1. Maker Faire Partnership & Licensing

The team discussed the licensing and coordination steps required to align the event with the official global Maker Faire brand.

  • Outreach call: A meeting with Jennifer from Make’s team is planned to clarify branding guidelines and participation criteria.
  • David (Make community manager) shared official contact details to facilitate onboarding.
  • Branding release: Domain (makerfaire.in) and public announcements will remain pending until official licensing is locked.
  • The team studied website handling and local adaptations in Hyderabad and Shenzhen to guide the Kerala edition.

2. Community & Partner Pipeline Management

To establish transparency and prevent duplicate efforts, a shared system has been put in place:

  • Shared Drive: Created folders for financials, media assets, public sheets, and working designs.
  • Curation Tracker: Created a central sheet to map 100+ maker organizations, sponsors, speakers, and volunteers. Edit access was assigned to prevent data duplicates.
  • Portal Development: Abhiram is building a simple portal under the GitHub organization to house minutes and track outreach progress.

3. Sponsorship & Marketing Strategy

The committee reviewed requirements for the event prospectus and marketing campaign:

  • Sponsorship Tiers: Agreed on three distinct tiers (Platinum, Gold, Silver) with customized deliverables.
  • Speaker Sponsorship: Discussed coverage for speaker travel, accommodation, and workshop fees.
  • Marketing Timeline: Will scale gradually: beginning with ecosystem curation, transitioning to community stories and team updates, and concluding with large public campaigns.

4. Experience & Venue Design

The team discussed building an engaging, interactive event flow rather than a simple festival structure.

  • Layout: Proposed a central open stage bordered by experience stations, hands-on workshop tables, and community booths.
  • Budgeting: Formulated a cost-conscious budget approach. Prior previous production estimates were INR 4.8 lakhs; the team intends to optimize this year’s budget while maintaining quality sound, minimal stage builds, and optimal safety lighting.
